Recruitment Campaign Process
The process goal is to hire only dedicated volunteers with skills matching the vacancies that ES might have.
Before initiating a recruitment campaign, kindly make sure to read the below steps in details:
- The team leader will have 1 or more job openings.
- Team leader will contact the HR by sending an email to [email protected] to plan a meeting.
- During the meeting, HR will provide the team leader with all the needed documents for the process.
- volunteering campaign request is filled by the team leader.
- HR will review the request, and confirm with the team leader.
- HR will create the required forms for the campaign.
- IT will create the campaign webpage on ES website.
- Marketing team fills in the text and images for the campaign page and publishes the campaign after confirmation with HR.
- Team leader will filter the applications after being added by the HR to the campaign work-space.
- Team leader will tag the HR in the accepted applications.
- Team leader sends interview requests to the candidates, and cc the HR in the email using the template provided by HR.
- Team leader replies with confirmation on the selected date by the candidates.
- Team leader interviews candidates using a prepared interview questions.
- Team leader fills in evaluation form.
- If candidate not accepted, HR will check if the candidate can be hired for other vacancies available in ES.
- If candidate is accepted the HR will get the approval from HR director.
- Acceptance confirmation email by candidate should be received with 1 week.
- HR will send the candidate data to the IT to create needed accounts.
- IT notifies the team leader, and HR upon accounts creation, also the IT will send the needed manuals for the tools that the candidate might use.
- HR will send to the candidate the discretion form to sign.
- Team leader checks if the hired candidate has joined Podio.
- Team leader will add the candidate to the needed workspaces, send engagement manual, and assign the candidate his/hers first task.
- Team leader introduces the newly hired candidate to the team work-space.
Team Leader responsibilities in the hiring process:
Prior to starting the recruitment campaign by at least 1 month
- Head count needed.
- Vacancies needed to be filled.
- Job descriptions for the available vacancies.
- Filling the recruitment campaign form.
After the campaign is published
- Checking the filtered candidates and selecting the list of possible ones.
- Providing the HR with available weekly hours to conduct interviews.
- Confirming interviewing times sent by candidates.
- Interviewing the candidates.
- Filling out evaluation form for each candidate interviewed weather accepted or rejected.
After the campaign is closed
- Making sure that the candidate has joined the Podio.
- Adding the Candidate to the appropriate workspaces.
- Introducing the candidate to the team work-space mates.
- Assigning the candidate his first assignment upon joining Podio.
- Sending the candidate the engagement manual.

Development Program
The development program have tow main goals; the first one is to better qualify Egypt Scholars volunteers to perform their tasks within the organization, and the second goal is to improve and sharpen their skills to enhance their performance in their professional career.
Only volunteers who have passed a minimum of 3 months in Egypt scholars with steady performance are eligible to enroll in the program.
Please make sure to carefully read the below process that illustrates the program before filling in the development program form.
- New volunteer have passed 3 months in Egypt Scholars with steady performance.
- HR reviews the volunteer CV.
- HR sends a feedback review form to the team leader.
- HR sends to the volunteer requesting a 1 on 1 meeting.
- During the meeting the process is illustrated to the volunteer, and development program form is sent to the volunteer.
- Analysis performed to determine the organization capacity to adopt the volunteer’s requests.
- HR contacts available mentors with the organization meeting volunteer goals.
- Coordinating 1 on 1 meeting between the volunteer and the mentor.
- Determine deliverables with the mentor and establishing success criteria.
- Meeting request is sent to the volunteer by the HR
- Discussing the program based on the volunteer goals VS mentor and organization capacity.
- Monthly review form is sent to the volunteer to fill in.
- After 6 months program evaluation, and goals analysis are done.

Monthly Nominations
The monthly nominations aims to recognize volunteers who are excelling in Egypt Scholars by helping their teams and who perform an outstanding job.
